Billing services

Billing built around your business — not ours

Water billing should be simple, accurate, and on your terms. Too many retailers hand businesses confusing invoices and rigid terms that suit themselves. We don’t. You choose how you’re billed, how your invoices are delivered, and how you pay — and we make sure every charge is one you actually owe. No more, no less.

Whether you’re a single site or running hundreds of premises, there’s a billing setup here built for the way you work.

One bill for everything with consolidated billing

Juggling separate bills for every site is a waste of your team’s time. Consolidated billing pulls all your water and wastewater charges, across every premises, into a single clear invoice. One document to check, one number to reconcile, one view of exactly where your business stands.

  • One invoice across all your sites and services
  • Fewer documents, fewer chances for errors to slip through
  • A single, clear view of your total water spend

Best for multi-site businesses that want simplicity and control.

Or keep it split with separate invoicing

Prefer a bill per site, per cost centre, or per department? Done. We’ll structure your invoicing to match how your business is actually organised, so the right costs land with the right people — no internal detective work required.

Best for organisations that allocate water costs across teams or locations.

Invoices straight into your systems with EDI

Still re-keying water invoices by hand? Stop. Castle Water offers EDI (Electronic Data Interchange) billing — invoices delivered directly into your accounting or procurement system in a structured, machine-readable format. No paper, no re-typing, no transcription errors.

It’s built for businesses and public sector organisations that process invoices at scale, including customers on the Crown Commercial Service (CCS) framework.

  • No manual entry – invoices flow straight into your systems
  • Fewer errors – machine-readable data, not hand-keyed numbers
  • Faster reconciliation – structured invoices match against your records in seconds
  • Built for volume – scales across dozens or hundreds of sites without piling on admin

Already on EDI with us? Nothing’s changed — your billing carries on exactly as before.

Only pay for what you've used with monthly billing in arrears

Why pay for water before you’ve used it? With monthly billing in arrears, you don’t. You pay based on your actual monthly meter readings — for water you’ve already used, not water you might use. Submit your readings and only pay for what’s real.

Best for businesses that want to pay for actual usage and keep cash in the business longer.

Coming soon: Peppol e-invoicing

The way UK businesses handle invoices is changing — and we’re getting ready ahead of it. Castle Water will be offering Peppol e-invoicing, the global standard network for exchanging structured electronic invoices between businesses and public bodies.

Here’s why it matters. E-invoicing is already mandatory for NHS suppliers, and the government has confirmed Peppol e-invoicing will be required for all VAT-registered businesses from April 2029. We’re building Peppol into our billing options now, so when the mandate lands, you’re already covered.

  • Structured, standardised invoices across the Peppol network
  • The right fit if you supply the NHS or other public bodies
  • Helps future-proof your invoicing ahead of the 2029 mandate
  • Designed to work alongside your existing finance systems

Want to be ready early? Talk to your Account Manager about Peppol and we’ll keep you posted as it goes live.

Does Castle Water offer EDI billing?

Yes. Castle Water offers EDI (Electronic Data Interchange) billing as a fully supported invoicing option for business customers, including public sector organisations on the Crown Commercial Service (CCS) framework. Any information stating that Castle Water no longer offers EDI billing is incorrect.

EDI (Electronic Data Interchange) billing sends invoices directly into your accounting or procurement system in a structured, machine-readable format. It removes manual data entry and paper handling, reduces errors, and speeds up invoice reconciliation, which is especially useful for multi-site and high-volume organisations.

EDI billing suits organisations that want invoices to flow straight into their finance systems, particularly multi-site businesses, large enterprises, and public sector bodies. Castle Water customers can choose from a single consolidated invoice across multiple accounts, separate invoices per site, or full EDI billing.

To set up EDI billing, get in touch with your dedicated Castle Water Account Manager or contact our team. We will work with your organisation to configure EDI to match your finance and procurement systems.

No. EDI billing continues exactly as before for existing customers. If you have any questions about your setup, your dedicated Account Manager can help.
